How do I use the Instances page in an account in Elevate Data Hub?

After you log in to Elevate Data Hub, you can view the instances to which you have access. The Instances table includes information about each instance and can be filtered.

If you cannot access the areas shown in this article, or complete all the steps, you may not have the necessary permissions.

The Instances page displays instances to which you have access. To access an instance, click the instance name [1].

To view details for an instance, click the Details icon [2].

The Instance Details tray includes information about the instance, including instance ID [1], organization details [2], organization ID [3], data version [4], school year(s) [5], accounts with access [6], and the Operational Data Store (ODS) API URL path [7].

Filter Instances

You can filter the instances table by several options, including organization, data version, school years, and availability. 

To add a filter, click the applicable drop-down menu [1], and select the desired option [2], or click the corresponding checkbox [3]. Applied filters display in the menu [4].

To clear all applied filters, click the button [5].

View Organization and Managing Account

Organization and Managing Account

An Inactive label indicates the organization is no longer active, for example, a school that closed. Inactive organizations remain in the system so historical data can be accessed.

The Managing Account column shows the account that owns the instance. Several accounts may have access to an instance, but only one account has management privileges.

View Data Version and School Year

Data Version and School Year

The Data Version [1] indicates a specific database schema or configuration that applies to the instance. Data Versions are defined by local entities.

The School Year(s) column [2] indicates which school year(s) an instance is compiling data for. An instance may be active for a single school year or multiple school years.

View Availability

Availability

The Availability column indicates the status of the database. Database availability may be:

  • Active [1]: Instance is currently in use and can be viewed or updated. Active databases are indicated by a checkmark icon.
  • Archived [2]: Instance is not currently in use, and data is stored as a historical record. Archived databases are indicated by a lock icon.
  • Read Only [3]: Instance is currently in use and can be viewed, but not updated. Read only databases are indicated by an eye icon.

View Last Activity Date and Recent API Errors

Last Activity Date and Recent API Errors

The Last Activity Date [1] indicates the last time a job ran in the instance. Instances that have not had any jobs run are indicated with a dash icon [2].

The Recent API Errors column indicates the number of API errors in job validations within the last 72 hours. To view the errors, click the number link [3].
